Office Administrator

Diakonia is recruiting an Office Administrator as part of its Asia Regional Office team to the office in Chiang Mai, Thailand.

Diakonia is recruiting an Office Administrator as part of its Asia Regional Office team

Placement: Chiang Mai, Thailand
Period of employment: Temporary for up to December 31, 2025
Planned starting: As soon as possible
Report to: Regional Finance and Administration Manager

Main Responsibilities

  • Coordinate front-desk activities, including distributing correspondence, redirecting phone calls and provide basic and accurate information in-person and via phone/email.
  • First point of contact with the Ministry of Labour and assist in reporting related to the office registration renewal.
  • Handle visa and work permit application and renewal for local and foreign staff.
  • Coordinate meetings, events, and related logistics to ensure that the event itself is carried out smoothly.
  • Provides support for the procurement process by assisting with sourcing suppliers, managing purchase orders, and ensuring timely delivery of goods and services based on procurement requirements.

    Qualification and Experience

    • Diploma or Bachelor degree.
    • Minimum 2 years of experience in administration work.
    • Experience in visa extension and work permit for expatriate.

      Competence

      • Good administration skills, well-organized and active.
      • High communication skills and good command of spoken and written English and Thai.
      • Good interpersonal skills.
      • Ability to work as part of a multi-cultural team and relate to staff in a proactive and contextual manner.
      • Good computer knowledge (Word, Excel, Outlook, etc.).

        Merits

        • Experience of working with NGOs and funding agencies.
        • Experience of coordinating with Thai Government sector.
        • Basic accounting skill is an advantage
        • Interested in development work.
